Application Documents Checklist for Chinese Universities (2027)

Updated October 2026 · 8 min read · StudyinGBA

Every year, strong applicants lose admission offers — or weeks of time — because of missing or incorrect application documents. Chinese universities are stricter than most about paperwork: a transcript without a translation, a passport photo page scan that's blurry, or a physical exam form from the wrong template can all delay your application past the deadline.

This checklist covers exactly what GBA universities ask for in the 2027 intake, based on the document requirements listed in current university program admissions. Use it before you submit anywhere.

The 10 most-requested documents across GBA programs: online application form, passport, transcripts and diploma, language certificate, personal statement, recommendation letters, physical examination form, non-criminal record certificate, proof of financial support, and the application fee.

The Core Document Checklist

  • Passport — a clear scan of the photo page; must be valid for at least 6 months beyond your planned arrival.
  • Academic transcripts and diploma/certificate — highest degree completed, usually with certified English or Chinese translation.
  • Language certificate — IELTS/TOEFL for English-taught programs, HSK for Chinese-taught ones. Requirements vary from IELTS 5.5 (Jinan University) to IELTS 6.5 (HKU, HKUST, CityU HK). See our IELTS requirements guide and HSK requirements guide.
  • Personal statement / study plan — why this program, this university, this country.
  • Recommendation letters — typically 1–2, from teachers or employers; some programs require academic referee nomination (e.g. HKUST).
  • Physical examination form — the standard Foreigner Physical Examination Form, completed within the validity window stated by the university.
  • Non-criminal record certificate — issued by police or notary authorities in your home country.
  • Proof of financial support / bank statement — some universities set explicit thresholds; Harbin Institute of Technology, Shenzhen, for example, requires a bank statement of at least ¥30,000.
  • Portfolio — required for arts and design programs (e.g. SCUT arts tracks).
  • Application fee payment — paid online during submission; keep the receipt.

Application Fees Across the GBA

Application fees range from free to HK$600. Here's what universities currently charge:

UniversityApplication fee
Guangzhou University; Guangdong Engineering Polytechnic; Jiangmen Polytechnic (and several vocational colleges)Free
Lingnan University (Hong Kong)HK$200
The Education University of Hong Kong; University of Macau; Macao Polytechnic University; City University of MacauHK$300
Macau University of Science and TechnologyHK$400
City University of Hong Kong; Hong Kong Baptist University; SCUTHK$450 / ¥450
CUHK; PolyU; most mainland universities (GDUT, GDUFS, GZUCM, GMU, SUSTech, SZU, BNBU, Shantou University...)HK$500 / ¥400–500
HKU; HKUSTHK$600
Sun Yat-sen University; Jinan University; South China Normal University¥800

Two extra fees to budget for

  • Initial acceptance fee: PolyU requires an initial fee of HK$20,000 upon accepting an offer (credited against tuition).
  • Application fees are usually non-refundable — even if you withdraw or are rejected, so apply selectively rather than spraying applications.

Program-Specific Extras

  • Medicine applicants (English-taught MBBS at Jinan, Shantou, or Guangzhou Medical University): expect additional requirements such as the CSCA online test and interview at Shantou University.
  • Business master applicants (e.g. HIT-SZ Applied Economics & Business Administration): some ask for CV and study plan in addition to the standard set.
  • Research/PhD applicants (SUSTech, SCUT, SYSU English-taught PhDs): a research proposal and prior supervisor contact dramatically improve your odds.

Deadlines: When Your Documents Must Be Ready

Document preparation should start months before deadlines. For the 2027 intake, key windows include:

  • November–January: Hong Kong early/main rounds — CityU main round closes January 15, 2027; HKU's round opened September 24, 2026 for the August 21 deadline cycle.
  • April: SUSTech round 2 (April 1 / April 30) and Sun Yat-sen University round 2 (April 30).
  • May: Jinan University (May 31), PolyU (May 15), CUHK extended (May 29), HKBU late round (May 31).
  • June: SCUT (June 15 for graduates, June 30 for others), HIT-SZ (May 20), HKUST late round (June 30), GZUCM and GMU (June 30).

For a month-by-month breakdown, see our 2027 GBA application deadlines guide.

Common Mistakes to Avoid

  • Submitting scans without certified translations when the original is in another language.
  • Using an expired physical examination form — most universities only accept exams done within a stated recent window (often 6 months).
  • Leaving the bank statement until last: some consulates and universities want 30+ days of transaction history.
  • Applying with a passport expiring within 6 months of enrollment — renew it before applying.
  • Ignoring program-specific extras like portfolios or interviews until the deadline week.

Document requirements above are summarised from current university program listings and may change for the 2027 intake. Always verify against the official university admission page, or let StudyinGBA handle document preparation and submission for you.
